Create an account

There are two types of MultiSafepay accounts. A Test account is used to explore the features provided by MultiSafepay and test your websites integration with our payment services. A Live account is used to process payments from your customers.

Log in to MultiSafepay Control

In order to log in to the MultiSafepay Merchant Back Office you will need your email address, account secure code and password.

Change your account details

To change your account details you can follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Account / Account Settings ,
  • Update your contact details,
  • Save your changes.

 

 

Change your password

To change the password of your user account you can follow these steps:

  • Login to MultiSafepay Control,
  • Use the account menu in the top navigation and select Change password,
  • Here you need to fill in your current password and enter your new password,
  • Save your changes.

Recover a lost password

To recover the password of your user account you can follow these steps:

  • On the log in screen click forgot password?
  • Fill in your user account email address to which a new temporary password will be sent,
  • After logging in with the newly received password you are requested to set a new password of your choosing.

Add new users

In order to add a new user to your account you can follow these steps:

  • Use the navigation on the left and select Settings /  User Management ,
  • Right on top there is a blue button to add a new user,
  • Fill in all required details and press  Add User .

Change user permissions

In order to change a users permissions you can follow these steps:

  • Use the navigation on the left and select Settings /  User Management,
  • Find the user you would like to change permissions of and select the user,
  • In the user details you can checkbox the permissions this user should have.

Change the display language

MultiSafepay Control is available in several languages. You are able to select your preferred language using the language selector at the bottom right of the screen.

Fund your account

To fund your account use the following steps:

  • Login to MultiSafepay Control,
  • Use the navigation on the left and select Home /   Fund account,
  • Select the currency in which you would like to fund your account,
  • Enter the amount you would like to deposit,
  • Press the blue button Fund your account.

You will be directed to a MultiSafepay payment page where you can choose a payment method to fund your account.

 

 

Withdraw funds

You can withdraw money from your MultiSafepay account at any time by following these simple steps.

  • Login to MultiSafepay Control,
  • Navigate to the Withdrawal page,
  • Enter the amount you would like to payout,
  • Select the predefined bank account into which funds will be deposited,
  • Confirm the withdrawal request.

Withdraw funds in a foreign currency

In order to withdraw funds from your MultiSafepay account in a currency other than Euros you will need to contact our finance department.

Schedule automatic pay-outs

MultiSafepay lets you schedule automatic pay-outs so you can have your funds deposited into your account on a regular basis.

  • Login to MultiSafepay Control,
  • Go to the Payout page,
  • Select the days on which you would like to initiate a pay-out,
  • Specify the amount on which the payout should take place,
  • Optional: specify an amount to keep reserved in your account,
  • Select the predefined bank account into which funds will be deposited,
  • Save your changes.

Example: if you want to initiate a payment on Mondays, your request will be processed and you will receive funds the next day.

Convert other currencies to Euros

In order to change other currencies to Euros:

  • Login to MultiSafepay Control,
  • Navigate to Pay-out,
  • Press the blue  Currency conversion  button next to the foreign currency balance,
  • Enter the amount you would like to convert to Euros,
  • Click Convert,
  • Confirm your currency exchange request.

Accept payments by phone and mail

MultiSafepay allows merchants to accept payments by Mail Order and Telephone Order (MOTO). If you wish to accept MOTO payments please contact us to have this functionality enabled on your account. 

When MOTO has been enabled in your account use the following steps:

  • Login to MultiSafepay Control,
  • Use the navigation on the left and select Tools / Mail & Phone payments,
  • Fill in the payment details, customer details and creditcard details and submit the order.

The MOTO payment will be processed directly and be seen in the transactions overview.

Send payment links by email

MultiSafepay allows clients to generate their own payment links to send to customers.

  • Go to Tools / Payment Links,
  • Fill in all require fields,
  • Press  Generate payment link  button.

After generating the payment link you will receive a URL which you can send to your customer. The URL will open a payment page on which your customer can choose a payment method and finish a payment.

 

 

How to enable Second Chance

In order to Enable Second Chance you can follow these steps:

  • Go to Settings / Website Settings,
  • Choose the website you want to enable Second Chance for,
  • Within the Website Functionality tile you can enable Second Chance.

After Second Chance is enabled all your customer who do not succesfully make a payment will receive a Second Chance e-mail. Second Chance e-mails can be changed through the e-mail settings. 

Receive email notifications for new transactions

To receive email notifications for new transactions you can follow these steps:

  • Login to MultiSafepay Control,
  • Use the navigation on the top to select your account and select 'Contact details',
  • Here you can fill in an email address to which notifications will be sent for new transactions.

If no email is specified no notifications will be sent.

Add a new website

In order to add a new website to your account follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to Websites,
  • Click the blue  Add new website,
  • Fill in all the required fields,
  • Click Continue.

Find your Site ID and Site Secure Code

In order to find your Site ID and Site Secure Code you need to follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Settings / Website Settings,
  • Here you can find the Site ID and Site Secure Code for each website,
  • By clicking on a website you can see the website details and make changes if you want.

Find the API key for a website

In order to find the API key for a website you need to follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Settings / Website Settings,
  • Here you need to select the website from which you want to find the API key,
  • By clicking on the website you can see the website details and in here you can also see the API key.

Disable payments for a website

In order to disable payments for a website you need to follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Settings / Website Settings,
  • Click the disable payments button for the website you wish to stop payment processing for.

Configure the Notification URL

In order to configure your Notification URL you need to follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Settings / Website Settings,
  • Select the website from which you want to configure the Notification URL and edit the URL in the Notification URL field.

Customise email templates

To customise email templates you can follow these steps:

  • Login to MultiSafepay Control,
  • Use the navigation on the left to select Settings / E-mail templates,
  • Select the website from which you want to edit the e-mail templates,
  • Within the website you can choose which kind of e-mail template you want to customise,
  • In the template you can style this to meet your wishes, like editing logo's changing color scheme and layout.

The variable @paylink@ can be used to send the payment link for the transaction in e-mails. This variable is already used for second chance and banktransfer e-mails. The @paylink@ by default refers only to a single payment method which was chosen before, by changing @paylink@ to @paylink@&methods=all this will change the payment link to show all payment methods which are enabled for that specific merchant account or website.

Customise payment page templates

MultiSafepay allows you to customize your payment pages to reflect your brand. You may upload HTML, CSS, font and image files. For security reasons Javascript is not allowed. To get started download our Payment Page Templates.

To customise payment page templates you can follow these steps:

  • Login to MultiSafepay Control,
  • Use the navigation on the left to select Settings / Payment Page Templates,
  • Upload the HTML page template, image and style assets required for your custom page template,
  • Use the navigation on the left to select Settings / Website Settings,
  • Use the drop down for the Payment Template to select your custom HTML file.

 

 

Add or remove payment methods

In order to add or remove payment methods you need to follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Settings / Payment Methods ,
  • Here you can select the check box for the payment methods to be enabled.

Note: Not all payment methods are immediately available in the MultiSafepay Control. Some payment methods, such as PayPal and Amex, require additional configuration before they can be selected in MultiSafepay Control. If you would like to use a payment method that is not visible please contact us.

MT940 data export

With the MT940 data export you will have access to a bank format file which can easily be read into your own accountancy software.

You can download a MT940 export by following these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Reports / Financial Export,
  • Here you can select a time frame, export format and currencies which should be included in this financial export
  • After you configured these settings press the blue generate report button to receive your requested file.

 

 

Transaction and report data export

You can create a transaction and report data export by following these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Reports / Transaction Reports,
  • Here you can select a time frame, select a currency, status, payment method and also choose grouping element,
  • After you configured these settings press the generate report button to receive your requested file.

Grouping report data

When you generate and export a report you have the option to group report data based on payment method, country and website. You can create a grouped report by following these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Reports / Transaction Reports ,
  • Here you can select a time frame, and also choose grouping element,
  • After you configured these settings press the generate report button to receive your requested file.

 

 

Transaction statuses

To find the transaction status of a transaction you can follow these steps:

  • Login to MultiSafepay Control
  • Navigate to  Transactions / Transactions Overview  and find the transactions of interest,
  • At the end of each transaction line you can see the transaction status.

Transactions can have the following statuses:

Initialized A payment link has been generated, but no payment has been received yet.
Declined Rejected by the credit card company.
Canceled Cancelled by the merchant (only applies to the status Initialised or Uncleared).
Completed Payment has been successfully completed.
Expired Depending on the payment method unfinished transactions automatically expire after a predefined period.
Uncleared Waiting for manual permission of the merchant to approve/disapprove the payment. 
Refunded Payment has been refunded to the customer.
Partial_Refunded The payment has been partially refunded to the customer.
Reserved Payout/refund has been temporary put on reserved, a temporary status, till the e-wallet has
been checked on sufficient balance.
Void Failed payment. 

Locate a specific transaction

You can locate a specific transaction in multiple ways:

By searching for a transaction id ( you can also search for amount, status, email address etc.):

  • Login to MultiSafepay Control,
  • Use the search bar in the top navigation to search for the transaction id.

By filtering the transaction overview:

  • Login to MultiSafepay Control,
  • Go to  Transactions / Transactions overview ,
  • You can search with free-text or filter by website and status of the order.

Transaction details

To find the transaction details of a transaction you can follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Transactions / Transactions Overview  and find and click the transaction you want to see the transaction details of.

You can also search for a specific transaction by using the search bar in the top navigation.

 

 

Uncleared transactions

To find all the uncleared transactions you can follow these steps:

  • Login to the Merchant Back Office,
  • Navigate to  Transactions / Uncleared transactions.
  • Here you can find all uncleared transactions which need action from your side.

Uncleared transactions can be:

  • Credit card transactions (Visa, MasterCard and American Express) which are blocked by our fraude filter which need manual action to determine whether this orders need to be accepted or declined.
  • Pay After Delivery transactions which manually need to be set to shipped by merchants in order to complete the transaction.

 

 

Refund a transaction

To refund a transaction you can follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Transactions / Transactions Overview  and find the transaction you want to refund, or search for the transaction you want to refund by using the search bar,
  • Click on the transaction and you will go to the transaction details page,
  • On the right side of the page are the order details and a blue Refund button,
  • Fill in all the required fields on the refund page and press submit refund.

Refund a Klarna or Pay After Delivery transaction

To refund a Klarna or Pay After Delivery transaction you can follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Transactions / Transactions Overview  and find the transaction you want to refund, or search for the transaction you want to refund by using the search bar,
  • Click on the transaction and you will go to the transaction details page,
  • On the right side of the page are the order details and a blue Refund button,
  • In this section you can remove order lines or refund the complete order.

Update Pay After Delivery shipped status

 To update the order status of a Pay After Delivery status to shipped you can follow these steps:

  • Login to the Merchant Back Office,
  • Navigate to  Transactions / Uncleared transactions ,
  • Here you can find all uncleared Pay After Delivery transactions,
  • Select the Pay After Delivery transaction from which you would like to change the status and go to the transaction details of this order,
  • In the transaction details on the right there is an option to change the order status to shipped or cancelled.

You must set each Pay After Delivery order to shipped to indicate that the products have sent and MultiSafepay can start the payment collection process.

Activate a Klarna order

To activate a Klarna order you can follow these steps:

  • Login to the Merchant Back Office,
  • Navigate to  Transactions / Transaction overview and find the Klarna order you want to activate and select the transaction to go to the transaction details.
  • In the transaction details on the right there is an option to change the order status to shipped or cancelled.
  • Set the order status to shipped to activate the Klarna order.

You must set each Klarna order to shipped to indicate that the products have sent and Klarna can start the payment collection process.

Add a note to a transaction

You can add notes to transactions to share information related to a transaction. To add a note you can follow these steps:

  • Login to MultiSafepay Control,
  • Navigate to  Transactions / Transactions Overview  and find the transaction you want to add a note to,
  • Click on the transaction and you will go to the transaction details page,
  • On the bottom of the transaction details page there is a notes section where you can add new notes.
